Privacy Policy

TRAICK Ltd. ("the Company," "we," "us," or "our"), located at 199 Buyukdere Caddesi, Sisli, Istanbul 34394, Turkey, operates traickai.com and the TRAICK sales-pipeline intelligence service (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with the Service. We are committed to handling personal information responsibly and in line with applicable data-protection law, including Turkey's Law on Personal Data Protection (KVKK No. 6698). 1. Who We Are and What We Do

TRAICK is an AI-powered sales-funnel tracking and churn-prediction tool for SMB revenue teams. Our core function is to read CRM pipeline data that you connect to the Service, analyse deal signals such as deal age by stage, last-contact recency, email engagement velocity, and stage-transition anomalies, and return a ranked action list telling your sales representatives which deals need attention this week. Understanding what data we handle is essential context for this Policy: the data we process is your team's CRM pipeline records, not end-consumer data.

2. Information We Collect

We collect information in two ways: directly from you and automatically when you use the Service.

Information you provide directly:

  • Account registration data: name, email address, company name, and password when you create a TRAICK account.
  • CRM pipeline data: deal records, stage history, contact names and activity timestamps, and email engagement signals that you authorise TRAICK to read from your connected CRM via read-only OAuth access.
  • Contact and inquiry data: name, email, and message content you submit through our contact form or by emailing [email protected].
  • Subscription and billing data: payment method details processed by our payment processor; we do not store card numbers on our servers.

Information collected automatically:

  • Usage data: pages visited, features accessed, session duration, and interaction patterns within the Service dashboard.
  • Technical data: IP address, browser type and version, operating system, referring URL, and device identifiers.

3. How We Use Your Information

We process personal information for the following purposes:

  • Providing the Service: ingesting and analysing CRM pipeline data to generate stall-detection scores and ranked action lists for your sales team.
  • Account management: creating and maintaining your account, authenticating logins, and managing your subscription.
  • Product communications: sending weekly digest emails (the ranked deal-alert summaries your reps signed up for), onboarding instructions, and material service notices.
  • Support and inquiries: responding to questions, bug reports, and support requests.
  • Service improvement: analysing aggregate usage patterns to improve stall-detection accuracy and product features. We do not use your CRM pipeline content to train machine-learning models shared with other customers without your explicit written consent.
  • Security and fraud prevention: detecting and responding to unauthorised access attempts or abuse.
  • Legal compliance: meeting obligations under KVKK and other applicable law.

4. Legal Basis for Processing (KVKK)

Under Turkey's KVKK (Law No. 6698 on the Protection of Personal Data), we process your personal data on the following grounds:

  • Performance of a contract: processing necessary to provide the Service you subscribed to, including CRM data analysis and digest delivery.
  • Legitimate interests: security monitoring, aggregate analytics for product improvement, and responding to direct inquiries, where these interests are not overridden by your fundamental rights.
  • Legal obligation: where processing is required to comply with Turkish or applicable law.
  • Consent: for optional analytics cookies and marketing communications, where we rely on your freely given, specific, and informed consent that you may withdraw at any time.

5. CRM Data - Special Handling

CRM pipeline data is central to the Service and deserves specific attention. TRAICK requests read-only access to your CRM through OAuth. This means:

  • We read deal records, stage history, last-activity dates, and contact-level engagement signals.
  • We do not write data back to your CRM without an explicit action by your users.
  • CRM data is processed solely to generate pipeline-stall scores and ranked action lists for your team.
  • We do not use your CRM deal content, customer names, or revenue figures to train shared models or to benchmark against other customers' pipelines without explicit written agreement.
  • CRM connection tokens are encrypted at rest and are revocable at any time from your CRM settings or from your TRAICK account.

6. Sharing and Disclosure

We do not sell personal information. We share information only in the following circumstances:

  • Service providers: cloud hosting, payment processing, transactional email delivery, and analytics partners who process data on our behalf under written data-processing agreements that limit their use.
  • Legal requirements: when required by Turkish law, court order, or a lawful request from a government authority.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to appropriate confidentiality protections and notice to you.
  • With your consent: for any other purpose you have explicitly authorised.

7. Data Retention

We retain personal information only as long as necessary for the purposes described above:

  • Account data is retained for the duration of your subscription and for up to two years after account closure to resolve disputes and meet legal obligations.
  • CRM pipeline data processed for stall-detection is retained for a rolling 90-day analysis window; historical deal snapshots used for model scoring are deleted after 12 months unless you request earlier deletion.
  • Contact inquiry data is retained for up to three years from the date of the inquiry.
  • Server logs are retained for up to 90 days for security purposes.

8. Security

We apply administrative, technical, and physical safeguards designed to protect personal data against unauthorised access, alteration, disclosure, or destruction. These include encryption of data in transit (TLS) and at rest, access controls limited to authorised personnel, and regular security reviews. No system is perfectly secure; if you believe your account has been compromised, contact [email protected] immediately.

9. Your Rights Under KVKK

As a data subject under Turkey's KVKK (Law No. 6698), you have the following rights regarding your personal data:

  • To learn whether your personal data is being processed;
  • To request information about the processing of your personal data;
  • To learn the purpose of processing and whether data is being used in accordance with that purpose;
  • To know the third parties to whom personal data is transferred domestically or abroad;
  • To request correction of incomplete or inaccurate personal data;
  • To request deletion or destruction of personal data where the reasons for processing no longer exist;
  • To request notification of correction or deletion to third parties to whom data has been transferred;
  • To object to a result that is detrimental to you arising from analysis of your data exclusively by automated systems;
  • To claim compensation for damages arising from unlawful processing of personal data.

To exercise any of these rights, email [email protected] with the subject line "KVKK Data Rights Request" and a description of your request. We will respond within 30 days. Where we cannot fulfil a request, we will explain why. You also have the right to lodge a complaint with the Turkish Personal Data Protection Authority (Kisisel Verileri Koruma Kurumu - KVKK).

10. International Data Transfers

TRAICK is based in Turkey. If your organisation is located outside Turkey, your data may be transferred to and processed in Turkey. We rely on cloud infrastructure that may involve servers in other countries; where such transfers occur, we ensure that appropriate safeguards are in place consistent with KVKK requirements for cross-border transfers.

12. Children

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has submitted information through the Service, contact us at [email protected] and we will delete it promptly.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated effective date at the top of this page. Where required by applicable law or where changes significantly affect your rights, we will provide additional notice such as an in-app notification or email.
